Knowing how to book an airport transfer in Sydney takes the guesswork out of one of the most important parts of any trip. This step-by-step guide walks you through everything — from the information you need at hand, to what happens after you confirm, to how your driver finds you on the day. Whether this is your first time booking or you just want to make sure you are doing it right, this guide covers it all.
Step 1 — Choose Your Route and Vehicle
The first step when you book an airport transfer in Sydney is selecting your route and the vehicle that suits your group. Visit our online booking form and enter your pickup location, destination, and travel date. Our system calculates the fare instantly based on your route.
Choose your vehicle based on passenger numbers and luggage. Our fleet includes a Lexus Sedan (1–2 pax) for solo travellers and couples, a Large SUV (3–5 pax) for families and small groups, a Mini Van (4–6 pax) for larger groups with generous luggage capacity, and a Mini Bus (6–11 pax) for groups. If you have oversized items such as golf bags, surfboards or prams, check our luggage guide before selecting your vehicle. When in doubt, choose one size up — the fare difference is small and the comfort difference is significant.
Pro tip: Check our pricing page to see indicative fares for popular routes before you start the booking form. Fares are fixed and include all tolls — there are no extras added at the end.
Step 2 — Enter Your Flight Details
This step is the most important part of learning how to book an airport transfer in Sydney correctly. Whether you are booking an arrival or departure transfer, accurate flight information protects you if your schedule changes.
For arrival transfers
Enter your flight number, your scheduled landing time, and your terminal (T1 International, T2 Domestic — Virgin Australia/Jetstar/Rex, or T3 Domestic — Qantas/QantasLink). Your flight number enables live tracking, which means we automatically adjust your driver’s schedule if your flight is delayed. Read our full guide on how we handle flight delays to understand exactly what this means for you in practice.
For departure transfers
Enter your departure flight number and your scheduled departure time. We use this to calculate your recommended pickup time. Tell us your pickup address including any access notes (apartment buzzer codes, gated driveways), and we will confirm the best time to leave so you arrive at the airport with comfortable margins. For international flights, we recommend arriving at T1 at least three hours before departure. For domestic flights, 90 minutes is the standard minimum.
Pro tip: If you are unsure which terminal your flight uses, provide your flight number and we will identify it. Our terminal guide also has a full breakdown of which airlines use which terminal at Sydney Airport.
Step 3 — Confirm Your Fare and Book
Once your route, vehicle, and flight details are entered, the booking form displays your fixed fare. Review the fare and all trip details carefully before confirming. The price shown is the price you pay — it includes all road tolls, the airport levy, and any applicable surcharges. There are no add-ons at the end of your journey.
Enter your contact details: your mobile number (used for driver communication on the day) and your email address (for your confirmation and booking receipt). If you have any special requirements — child seats, accessibility needs, oversized luggage — note them in the special requirements field. Then confirm and pay. The booking is instant.
What Happens After You Book
Within minutes of completing your booking, you will receive an email confirmation. This confirmation contains your trip details, your reference number, and — closer to your travel date — your assigned driver’s information. Here is what happens between booking and travel day:
- Driver allocated — a specific driver is assigned to your booking. This is not a last-minute algorithm match. A real person is scheduled for your journey well in advance.
- Flight monitored — for arrivals, we track your flight from departure through to touchdown at Sydney. If your flight is delayed or arrives early, your driver’s schedule adjusts automatically.
- Reminder sent — you will receive a reminder with your driver’s details before your travel day so you know exactly who to expect and when.
- Driver departs on time — your driver leaves for your pickup at the right time to arrive at your door (for departures) or the terminal (for arrivals) at the agreed time.
For complete information on what to expect between booking and travel, see our transfer day guide.
On the Day: Departure Transfers
For departure transfers, your driver arrives at your pickup address at the scheduled time. They will assist with loading luggage. Your job is simply to be ready at the door. If you need to adjust your pickup time after booking, contact us as early as possible — last-minute changes are harder to accommodate when your driver is already en route.
Passengers heading to Campbelltown, Penrith, Blacktown or other outer suburbs should factor in peak-hour traffic if their pickup falls between 7 and 9 am. We build buffer time into our calculations, but letting us know your suburb when booking helps us fine-tune departure timing.
On the Day: Arrival Pickups
For arrival transfers, your driver will not hold a name board inside the terminal. Instead, after your plane lands, simply switch on your phone — your driver will message you directly via SMS or WhatsApp to coordinate your pickup at the designated zone. Free WiFi is available at all Sydney Airport terminals, so international travellers can connect on WhatsApp without needing roaming charges. The free waiting time for international arrivals is 60 minutes from your actual landing time at T1, and 40 minutes for domestic arrivals at T2 and T3. This covers clearing immigration, collecting baggage, and walking to the pickup area.
Do not rush through customs. Your driver knows you have landed and will wait within the free period. If you are significantly delayed due to a baggage issue or secondary customs check, contact us so we can update your driver.
How to Find Your Driver at Sydney Airport
After landing, switch on your phone and wait for your driver’s SMS or WhatsApp message. Pickup zones by terminal:
- T1 International: Pickup at the P7 area on the ground floor after clearing customs and collecting bags.
- T2 Domestic (Virgin Australia, Jetstar, Rex): Pickup at the Shuttle Bay designated zone.
- T3 Domestic (Qantas, QantasLink): Pickup near the Carousel 5 area.
Your confirmation email will also specify the exact meeting point for your terminal. For a detailed layout of each terminal, see our Sydney Airport terminals T1 T2 T3 guide.
Pro tip: Save your driver’s mobile number from your confirmation email before you board your flight. If you land and cannot locate them, a quick message resolves any confusion within minutes. Free WiFi at all terminals means international passengers can use WhatsApp instantly on arrival.
Making Changes or Cancelling Your Booking
Life changes, and so do travel plans. If you need to modify your booking — new flight time, different pickup address, additional passengers — contact us as soon as you know. We handle changes without fuss for reasonable advance notice. For cancellations, our cancellation policy requires at least 24 hours notice for a full refund. A 50% fee applies if cancelled after the driver has already departed for your pickup.
If your flight is rebooked with a different flight number, update us immediately. The tracking system relies on an accurate flight number to protect your booking during delays.
Payment Options
We accept EFTPOS (1.8% surcharge), cash, PayID and bank transfer. Payment is made to the driver on the day of travel. For corporate accounts and invoiced bookings, visit our corporate transfer service page.
