Delegation Patterns for International Conferences

For international conferences hosting overseas delegations, the typical pattern: delegates arrive at T1 international across a 24-hour window starting 1–2 days before the conference. Each delegate is met via direct mobile message, assisted with luggage, and run to the conference hotel (typically the Sofitel Darling Harbour, Hyatt Regency Sydney, or Hilton Sydney). Hotel check-in is coordinated with the conference organiser. Across the conference days, hotel-to-venue shuttles run on a published schedule (typically every 30 minutes during peak hours, with a final return shuttle at conference close). VIP Speaker Transport

Keynote speakers, panellists, and conference sponsors typically receive VIP transport: Lexus Sedan or SUV with suit-and-tie driver, mobile message at airport pickup, hotel-to-venue dedicated cars rather than shared shuttles. This is a small subset of the overall delegation transport but high-touch. We allocate experienced drivers familiar with VIP protocols.
